Before you buy software, write the task in one sentence: every time a guest asks X, we do Y. Then walk through these checks. If you fail a stop-check, automate the prep and leave the decision with a person.

If the task passed the safe checks, automate that one task and leave the rest alone for a month. If it failed, write the handoff: what gets collected, who receives it, and what the assistant is not allowed to say. A second workflow can wait until the first one has earned trust.
